Business Office Manager

Job Summary:

The Business Office Manager oversees the administrative and financial operations of the skilled nursing facility, ensuring compliance with state and federal regulations. This role is responsible for managing billing, accounts receivable, resident trust funds, payroll, and other financial processes while supervising office staff. The Business Office Manager works closely with residents, families, and interdisciplinary teams to ensure efficient operations and excellent customer service.

Key Responsibilities:

Financial and Billing Management:
           Oversee and manage accounts receivable and payable processes.
           Prepare, review, and submit billing for Medicare, Medicaid, private insurance, and private pay sources.
           Monitor and follow up on outstanding balances, ensuring timely collections.
           Maintain accurate financial records and reconcile accounts regularly.
           Assist residents and families with billing inquiries and payment plans.

Resident Trust Funds:
           Manage and maintain resident trust accounts in compliance with regulatory requirements.
           Process deposits and withdrawals and provide monthly account statements to residents or responsible parties.
           Ensure proper handling of all resident funds, maintaining transparency and accuracy.

Payroll and HR Support:
           Oversee timekeeping and payroll processing, ensuring accuracy and compliance.
           Assist with employee records, including benefits administration and leave tracking.
           Support the Administrator in coordinating new hire paperwork and employee onboarding.

Administrative Management:
           Supervise office staff, ensuring tasks are completed accurately and efficiently.
           Maintain organized filing systems for resident records, financial documents, and compliance materials.
           Ensure timely submission of required reports to corporate offices and regulatory agencies.
           Order and manage office supplies and equipment for efficient facility operations.

Regulatory Compliance:
           Ensure compliance with Medicare, Medicaid, and other payer regulations.
           Stay informed of changes to state and federal regulations affecting billing and financial operations.
           Assist with internal and external audits, providing necessary documentation.

Customer Service:
           Serve as a primary contact for residents, families, and staff regarding billing and administrative inquiries.
           Address concerns professionally and promptly, ensuring resident and family satisfaction.
           Foster positive relationships with residents, families, staff, and external vendors.

Qualifications:

Education and Experience:
           Bachelor’s degree in Business Administration, Accounting, or a related field (preferred).
           Minimum of 3 years of experience in business office management, preferably in a skilled nursing or healthcare setting.
           Experience with Medicare, Medicaid, and private insurance billing required.

Skills:
           Strong knowledge of healthcare billing systems and regulations.
           Proficiency in accounting software, Microsoft Office Suite, and electronic health records (EHR) systems.
           Excellent organizational and time-management skills.
           Strong interpersonal and communication skills, with the ability to handle sensitive situations.
           Leadership and team management experience.
